By using RentCafe.com (RentCafe ILS) or any property websites powered by RentCafe (RentCafe Portal) (collectively, “RentCafe”), you acknowledge you have read and understand the latest version of the RentCafe Privacy Policy (posted at https://resources.yardi.com/legal/rentcafe-privacy-policy/), which describes RentCafe’s privacy practices and will be updated from time to time. The property may have its own Privacy Policy that describes the property’s privacy practices.
This Privacy Policy is effective as of January 8, 2026.
WHO WE ARE & SCOPE
This Privacy Policy applies to all websites managed or operated by Perimeter Realty, Inc. or Fort Family Investments, and its subsidiaries for the properties managed or operated by Perimeter Reality, Inc. or Fort Family Investments. (Perimeter Realty, Fort Family Investments, and all subsidiaries of either are referred to herein as “Fort Family,” "we", "us", or "our"). It also applies to any resident or applicant portals that we provide or that are provided on our behalf by our service providers, such as Yardi or RentCafe, although your information is also subject to the privacy policies of those service providers. (The websites and portals are, collectively, the “Sites”). This Privacy Policy does not change or alter any separate written agreements with Fort Family Investments/Perimeter Realty, Inc.
SEPARATE NOTICE FOR APPLICANTS AND EMPLOYEES
While we provide this Privacy Policy to employees, job applicants, contractors, or similar individuals to the extent such individuals use our Site, this Privacy Policy is not a full description of our policies for and may not apply to such individuals. Please contact us using the information in the "Contact Information" section below if you have questions. This Policy focuses on residents, prospective residents, and website visitors.
PERSONAL INFORMATION WE COLLECT
We collect information that identifies, relates to, describes, or could reasonably be linked with a particular consumer or household (“Personal Information”). These include:
- Identifiers, such as name, email, phone, address, device/IP, and cookie IDs. We obtain this information from you, your browser or device, and our service providers.
- Government IDs or other sensitive Personal Information, such as your Social Security Number (if provided to Yardi), your driver’s license details, and your date of birth. We obtain this information from you or our screening providers.
- Financial and eligibility information, such as your income and employer, application answers, credit/background check results, payment tokens, and Flex participation. We obtain this information from you and our service providers.
- Tenant history, such as prior addresses and background screening outcomes. We obtain this information from you and our screening providers.
- Pet information, which can include your pet and your reasoning for needing an emotional support animal. We get this information from you and our service providers.
- Limited internet usage data, such as pages you viewed, referrer, device, approximate location, analytics and advertising data. We get this information from your browser/device and analytics/ad partners (e.g., Google via Yardi, Meta, LinkedIn).
- Community safety data, such as CCTV footage at properties where cameras are presented (video only). We obtain this information from our cameras.
PURPOSES OF USE
We use Personal Information to operate the Sites; respond to inquiries; process applications and screening; manage leases and communities; process payments and maintenance requests; comply with laws; protect residents, visitors, and property; evaluate and improve our services; and for analytics and advertising as described below.
COOKIES, ANALYTICS, AND ADVERTISING
We and our partners use cookies and similar technologies for site functionality, analytics, and advertising. You can manage preferences at Cookie Settings on our Sites (where available) and limit certain analytics or ads via your browser or device settings.
We use analytics and advertising partners such as Google Analytics (via Yardi/RentCafe), Meta, LinkedIn, and may embed or engage with platforms like ApartmentRatings, J Turner Research or Yelp.
DISCLOSING PERSONAL INFORMATION
We disclose Personal Information for the business purposes below.
- Services Providers and Contractors. We share information with service providers and contractors (e.g., Yardi/RentCafe property management and screening, PetScreening pet and emotional-support verification, Flex rent payment and financing, analytics and advertising, and ratings and reviews partners) who must use it only to provide services to us.
- Legal, Safety, and Transactions. We may disclose information to comply with law; enforce policies; protect rights, safety, and property; or in a merger, acquisition, or asset transfer.
- Sale/Sharing for Targeted Advertising. We do not sell Personal Information for money. We do share certain identifiers and internet/usage information with advertising and analytics partners for cross-context behavioral advertising. You may opt out at any time via the Do Not Sell or Share My Personal Information link.
SENSITIVE PERSONAL INFORMATION
We collect Sensitive Personal Information, such as government ID numbers, driver’s license details, background-check results, and service-animal verification details, only to process applications, verify eligibility, administer leases, comply with law, or protect our communities. We do not use Sensitive Personal Information to infer characteristics or for targeted advertising. Where required by law, you may request that we limit our use and disclosure of Sensitive Personal Information.
DATA RETENTION
We retain Personal Information only as long as reasonably necessary for the purposes described above, including to meet legal, accounting, and security obligations, and then we delete or de-identify it. We maintain a retention schedule.
YOUR PRIVACY RIGHTS & CHOICES
Depending on your state, you may have rights to access, delete, correct, and port your Personal Information; to opt out of sale, sharing, or targeted advertising; to limit use of Sensitive Personal Information; and to appeal a decision relating to any of the foregoing rights.
You may submit requests relating to the foregoing to [email protected]. We will verify requests using information associated with your account or application. If you use an authorized agent, we may require proof of authorization and additional verification. We will respond within the period required by applicable law and will not discriminate for exercising your rights.
SECURITY
We employ administrative, technical, and physical safeguards appropriate to the nature of the data, including access controls, encryption, vendor due diligence, and workforce training. However, please be aware that no method of transmission or storage is 100% secure.
